About the Role

We are seeking a highly motivated and detail-oriented individual to join our team as an Office Assistant. The successful candidate will play a crucial role in maintaining an efficient and organized office environment. The Office Assistant will be responsible for providing administrative support to various departments, ensuring smooth daily operations, and contributing to the overall success of our organization.

What You’ll Do

· Administrative Support:

o Perform general clerical tasks, including photocopying, scanning, and filing documents.

o Handle incoming and outgoing mail, emails, and telephone calls in a professional manner.

o Assist in scheduling appointments and meetings and maintain calendars for key staff members.

o Coordinate staff travel logistics including travel arrangements, travel authorizations, and reimbursements while adhering to travel policies.

· Office Organization:

o Maintain a clean and organized office space, including common areas and conference rooms.

o Monitor and replenish office supplies, and coordinate equipment maintenance as needed.

o Collaborate with relevant teams to improve office efficiency and workflow.

· Visitor Reception:

o Greet and assist visitors, clients, and employees in a friendly and professional manner.

o Manage the reception area and ensure a positive first impression for all guests.

· Team Collaboration:

o Collaborate with colleagues to support various projects and initiatives.

o Communicate effectively with team members and other departments to facilitate workflow.

· Event Support:

o Order lunches and refreshments for meetings and events.

o Assist In planning and organizing of office events.

Qualifications

· High school diploma or equivalent; additional education or certification is a plus.

· Proven experience in an administrative or office support role.

· Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).

· Strong organizational and multitasking skills with attention to detail.

· Excellent written and verbal communication skills.

· Ability to prioritize tasks and work independently as well as in a team.

· Professional demeanor and ability to handle confidential information with discretion.
